Spectrum Supports Tasmania is a sole trader operated by one person, based in Greater Hobart, Tasmania. This policy applies to all personal information collected through this website, via email, phone, or in the course of providing support services.
Spectrum Supports Tasmania provides disability support services and is therefore subject to the Privacy Act 1988 (Cth) and the 13 Australian Privacy Principles (APPs), regardless of business size. The small business exemption does not apply to businesses that provide health services and hold health information.
What information I collect
I may collect the following types of personal information:
- Identity information: name, date of birth, contact details (phone, email, address)
- NDIS information: NDIS participant number, plan type, plan management details, support coordinator details
- Health and disability information: diagnosis, support needs, communication preferences, medications (where relevant to safe service delivery), mental health history (where disclosed voluntarily)
- Emergency contact information: name and contact details of a nominated emergency contact
- Financial information: bank or payment details for invoicing purposes only
- Session notes: records of supports delivered, goals worked on, and progress made
- Photos and media: only with your explicit written consent — see below
I only collect information that is reasonably necessary to provide support services and meet legal obligations.
Why I collect it
Personal information is collected and used for the following purposes:
- Providing safe, appropriate, and tailored support services
- Communicating with you and your support network (with your consent)
- Invoicing and processing payments through your NDIS plan or directly
- Meeting obligations under the NDIS Code of Conduct
- Record-keeping and service documentation
- Responding to complaints or incidents
- Legal compliance
Who I may share information with
I will not share your personal information without your consent, except where:
- Your plan manager or support coordinator needs information to process invoices or coordinate supports (with your knowledge)
- Required by law (e.g. mandatory reporting obligations, legal proceedings)
- There is a serious and imminent risk to the life, health, or safety of any person
- Required by the NDIS Quality and Safeguards Commission in the course of a complaint or investigation
I do not sell, rent, or trade personal information to third parties for marketing purposes.
How I store and protect your information
Client records are managed through Shiftcare, a platform built specifically for disability support with secure data storage standards. Additional records may be held in password-protected documents. I take reasonable steps to protect information from misuse, interference, loss, and unauthorised access, modification, or disclosure.
If you believe there has been a data breach involving your personal information, please contact me immediately at support@spectrumsupports.com.au. I will notify you and the Office of the Australian Information Commissioner (OAIC) of any eligible data breach as required under the Notifiable Data Breaches scheme.
Photos and media consent
Photos or videos of participants will never be taken or published without explicit written consent. Consent is entirely voluntary and will not affect access to services. You can withdraw consent at any time in writing. A separate media consent form is available on request.
Your rights
Under the Australian Privacy Principles, you have the right to:
- Access the personal information I hold about you
- Request corrections to inaccurate or incomplete information
- Ask me to explain how your information has been used or disclosed
- Make a complaint about how your information has been handled
